Prathibha Institute ("we", "us", "our", "the Institute") collects and processes personal information to manage student admissions, enrollment and payments efficiently and safely. This policy explains what data we collect, why we collect it, how it is used and the choices and rights you have over your information.
1. Information We Collect
During registration, enrollment and day-to-day use of our services we may collect:
- Student registration details β full name, mobile number, email address (optional), date of birth (optional), residential address, Aadhaar number (optional), and a passport-style photograph.
- Guardian details β guardian/parent name and mobile number, so we can reach a responsible adult for academic or emergency communication.
- Enrollment information β the course chosen, batch preference, joining date, total fees and payment status.
- Account information β the password you set for your student portal account (stored only in encrypted/hashed form) and referral information you volunteer.
- Payment information β transaction order and payment identifiers and the amounts paid for courses. We do not store your card, UPI or bank account details; these are handled by our payment processor (Razorpay).
- Wallet credit information β the balance in your institute wallet account and the send/transfer history of wallet credit.
- Usage information β basic, non-intrusive data such as courses you view and your portal activity, used to improve our services and page performance (like any ordinary website).
2. How We Use Your Information
We use the information we collect to:
- Process your admission/registration and maintain your student record.
- Manage your course enrollment, batch allocation, attendance and academic progress.
- Process course fee payments and refunds through our payment processor.
- Maintain your wallet credit balance and process credit transfers between students.
- Contact you about classes, schedules, fee reminders, notices and examination updates.
- Verify certificates issued by the Institute.
- Comply with legal, regulatory and academic obligations.
3. Legal Basis & Consent
We process your information based on your consent (given when you register), the need to perform the educational service you have contracted for, and our legitimate interest in running the Institute efficiently and safely.
Where you choose to provide your Aadhaar number, it is collected only with your voluntary consent for identification and record-keeping purposes as permitted under the Aadhaar (Targeted Delivery of Financial and Other Subsidies, Benefits and Services) Act, 2016. Providing your Aadhaar is entirely optional and is not a requirement for admission.
4. Payment Processing via Razorpay
Online fee payments are processed by Razorpay (Razorpay Software Private Limited), a PCI-DSS-compliant payment gateway for Indian merchants. When you pay online:
- Your card/UPI/net-banking details are entered and processed entirely on Razorpay's secure environment; we never see or store them.
- Razorpay may use your payment details to prevent fraud and comply with applicable law.
- We receive only the payment confirmation, transaction/order identifiers and the amount paid, which we store in your fee record.
Please review Razorpay's own privacy and terms documents for details on how they treat payment data. A portion of the course fee may be covered by wallet credit before any online payment is collected.
5. Sharing & Disclosure
We do not sell or rent your personal information. We share data only in these limited cases:
- Payment processor (Razorpay) β to complete online payments and refunds.
- Institute administration β the Institute's administrative staff and faculty who need the data to run classes and student records.
- Legal authorities β where disclosure is required by law, regulation or a valid court/statutory order.
6. Data Retention
We retain your registration, enrollment and academic records for as long as your relationship with the Institute continues and thereafter for the period required by applicable law (for example, for certificate verification and financial record keeping). Payment records are kept for statutory accounting/financial periods. Your Aadhaar number, if provided, is retained only for as long as reasonably needed for identification and records, and is not retained for any purpose beyond that.
7. Data Security
We apply reasonable technical and organisational safeguards to protect your data β including encrypted/hashed storage of passwords, restricted access to personal data on a need-to-know basis, and secure server handling of all records. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Your Rights
You may:
- Access and correct the personal data we hold about you.
- Withdraw consent to the optional data (such as Aadhaar) you provided.
- Request deletion of your account/record, subject to statutory retention obligations (for example, records needed for fee reconciliation).
- Object to or restrict certain processing, where applicable.
To exercise any of these rights, please write to us using the contact details in Section 11. We will respond within a reasonable time as required by law.
9. Children's Privacy
Many of our students are minors. Where a student is below 18 years of age, registration must be done with the knowledge and consent of a parent or guardian, and we collect guardian details for this purpose. Guardian details are used for communication and safety, and are handled with the same care as the student's own data.
10. Cookies & Log Data
Our website uses essential cookies and similar technologies to keep you logged into your student account and to remember basic preferences. We do not use these mechanisms for cross-site advertising tracking. Like most websites, our servers record basic technical data (IP address, browser type, pages visited, timestamps) for security and performance monitoring.

We may update this Privacy Policy from time to time. The latest version will always be available at this page, with the effective date shown above. We encourage you to review it periodically.
